The College Secretariat is the hub of the National Defence College which deals with the entire administration of the College viz. Course Administration, Personal Administration of Faculty, Staff Officers, Course members and Civilian officers and Staff.
The DAA & QMG and Administrative Officer of the College assist AA & QMG in discharging his responsibilities.
DAA & QMG looks after all MES Works of NDC and Raksha Bhawan and matters relating to Unit Canteen of the College. Administrative Officer is responsible for all administrative matters dealt with by the College Secretariat as well as Accounts Section.
(a) Administrative supervision and attending to welfare matters of NDC Civilian and combatant Staff.
(b) Ensure high state of maintenance of Motor Transport of the College.
(c) Posting, transfer and administration of all staff.
(d) Assist Secretary, NDC in progress of various cases with Ministry of Defence.
(e) Up-keep and maintenance of College campus.
(a) Maintain and operate Public Fund Accounts.
(b) Pay and allowances of all Staff and Course members.
(c) Maintain and operate I&M Budget Grant.
(d) Receive and maintain training charges in respect of Course members.
(e) Maintain all TA & DA claims of Course members for various tours.
(a) Organise reception of members for new course and attend to their administrative requirements.
(b) Liaise with Ministries of External Affairs and Home Affairs in regard to nomination of foreign officers, their registration at FRRO, obtaining requisite clearances for various internal tours, etc.
(a) Arrange purchase of air tickets.
(b) Arrange local transportation.
(c) Liaise with IAF for necessary clearance for airlift by IAF aircraft.
(d) Liaise with Ministry of External Affairs and foreign diplomatic Missions in New Delhi to complete various administrative formalities in respect of Foreign Course members.
(e) Supervise and obtain diplomatic and official Passports and Visas for Faculty and Course members for Foreign Countries Tour and Strategic Neighbourhood Tour.
(f) Liaise with Nigerian War College/Indian Diplomatic Mission in Abuja in connection with exchange programme of Faculty members between NDC, India and Nigerian War College, Nigeria.
(g) Liaise with ASEAN Regional Forum (ARF) in connection with participation in the ARF Meet by NDC Faculty.
(a) Carry out duties of Fire Fighting Officer.
(b) Carry out fire fighting drills.
(c) Liaise with local fire brigade for necessary services.
(d) Ensure that all fire fighting equipments are tested and are properly maintained for emergency operation.
(a) Carry out duties of OC troops for all Service personnel posted/attached to NDC.
(b) Act as Ex-Officio Member and Treasurer of Raksha Bhawan Board.
(c) Be responsible for print of address books.
